Exchange Hosting - Open An Additional Mailbox in Outlook and Outlook Web Access

The article applies to all ITSolutionsNow customers with hosted Exchange email.

Active Exchange services, see Add Hosted Services, Delegate Access to target mailbox.

Summary

This article demonstrates how to open an additional mailbox in either Outlook 2010, or 2007.

Note: See the What's Next section for Outlook 2011 instructions.

Configuration Steps

As mentioned previously in the Autodiscover Record support article, certain higher functions of Exchange Mail require an Autodiscover record to work correctly in Outlook. To open an additional mailbox, an Autodiscover must be in place. Without one it is not possible, and absolutely will not work.


Open An Additional Mailbox In Outlook 2010:

1. With Outlook 2010 open click the File tab to open the file menu, click Account Settings, and again click Account Settings.


2. On the email tab (loaded by default), click the proper exchange account name to highlight it, and then click the Change button.


3. The change email account window will load displaying the basic properties of the exchange account, on the bottom right of that window click the More Settings... button


4. A window entitled Microsoft Exchange will open displaying multiple tabs, click the Advanced tab. Under the Mailboxes section click the Add... button to specify the additional mailbox.


5. Type in the name of the mailbox as it appears in the global address list (and also the online services control panel), and then click OK.


6. The mailbox name will now be displayed under the Open these additional mailboxes: section, confirm the mailbox's presence then click Apply, and then OK.


7. Close out of the additional windows until just the main Outlook window remains. Look at the navigation pane and confirm that the mailbox appears. Try expanding the mailbox to confirm access. If the mailbox does not expand, verify the current mailbox:

After verifying those three items, if the inbox still does not expand. Contact support@itsolutionsnow.com and the support staff will manually force permissions. Note the request will have to originate from the mailbox user to be shared.

1. With Outlook 2007 open click the Tools menu and then Account Settings.


2. On the email tab (loaded by default), click the proper exchange account name to highlight it, and then click the Change button.


3. The change email account window will load displaying the basic properties of the exchange account, on the bottom right of that window click the More Settings... button


4. A window entitled Microsoft Exchange will open displaying multiple tabs, click the Advanced tab. Under the Mailboxes section click the Add... button to specify the additional mailbox.

1. In a web browser navigate to the Outlook Web Access portal (webmail.myhostedservice.com), and login using the full email address and password.


2. On the far top right corner of Outlook Web Access the mailbox name will be displayed. To the immediate right of that name will be a small black arrow. Click the arrow.


3. The Open Other Mailbox window will appear. Under Select Mailbox type in the name of the mailbox, and hit enter on the keyboard. If the mailbox name is typed correctly it will turn blue, otherwise a message will be displayed No Match Found. Once it has resolved to the blue color, click Open, to load the new mailbox.


4. The mailbox will now load, and the new mailbox name will be displayed in the top right corner of the web access screen. Repeat steps two and three to load the original mailbox.
